Reporting

Build Your Own Reports

This new feature enables report users to create their reports from a blank template. Instead of browsing the report list for the right template that fits their needs, now they can choose a report type, select fields, and run their reports. We will gradually enhance this reporting capability for the remainder of 2024.

What do you need to know?

  • 5-Step Report Builder: Report users can create their reports using a 5-step report builder, accessed using the "Create Report" button on the report list page.

  • A five-step process will let users select a report type, choose fields, reorder the fields, apply necessary filters, and Run/save/Export the report.

  • Events and Invitees and Registrants: The builder is only available for individual events, and users can report on invitee data. More report categories will be available in the coming months.

  • Field Limits: Users can now select more than 150 fields in their reports. However, if the user selects more than 150 fields, the report cannot be viewed in the browser; it must be exported to be viewed. We'll increase the limit soon!

  • Report Functionality: Reports created through the new builder will have all the functionalities of regular saved reports—publishing, Scheduling, Queueing, Tagging, etc.

IMPORTANT: For this release, Build Your Own Report can only support invitees and registrants. More report categories will be available in 2024 and 2025.

Map Your Show Integration

Map Your Show is a leading trade show technology partner for events and conferences. It empowers customers by creating floor plans, managing exhibit space sales, and enhancing exhibitor engagement, all while facilitating connections between exhibitors and attendees during events.

With this integration, Cvent customers using Map Your Show to manage exhibitor booths can now seamlessly sync exhibitor management data from Map Your Show to Cvent Exhibitor Management, resulting in a more efficient and streamlined experience.

Key Features of the Integration:

  • Link a Map Your Show event to a Cvent event

  • Connect Map Your Show Exhibitor Contacts to Cvent Exhibitor Admins

    • Automatically create a Cvent Exhibitor Admin from a Map Your Show contact if one does not already exist in Cvent

    • Update an existing Cvent Exhibitor Admin with information from a Map Your Show contact

  • Assign Registration Packages to Cvent Exhibitors based on Map Your Show booth assignments

  • Sync Exhibitor Logos from Map Your Show to Cvent as Exhibitor Logos

Note: This release does not yet support Single Sign-On (SSO); however, SSO functionality will be available in an upcoming release. Once implemented, SSO will allow exhibitors to access the Cvent Exhibitor Admin portal directly from the Map Your Show application.

Important Updates for Microsoft Teams Integration

Earlier this year, Microsoft launched a new version of Teams Webinar and announced the deprecation of the previous version. As a result, Cvent customers using the existing Teams integration will need to update their integration within their Cvent account to stay compatible before the deprecation.

Note: Microsoft has already communicated these changes to its customers, and Cvent has also informed our customers who use the Teams integration about the upcoming migration.

This enhanced Teams integration empowers you to seamlessly manage all virtual meetings and events within the Cvent ecosystem.

Key Features of the integration are:

  1. Create Microsoft Teams webinars for Cvent events or sessions

  2. Sync registrant's data between Cvent and Microsoft Teams

  3. Communicate Microsoft Teams Webinar details to Cvent registrants

  4. Update participant information in Cvent based on Microsoft Teams attendance

  • Expected Release Date: 18 September, 2024

Cvent Salesforce App v8.3

This release introduces features for choosing post-field mapping actions: create, update, or both. It also supports updated Event statuses and adds an Invitation list filter to the Attendee Sync setup.

Important features of the release:

  • Create / Update Salesforce Record according to Field Mapping: With unmatched Salesforce records, planners/subscribers can now have different field mappings for net new contacts/leads versus updating a matched contact/lead. They can choose between creating, updating, or both.

  • Support of updated Event Statuses: Updated event statuses have been added, including Upcoming, Ongoing, Completed, Cancelled, Deleted, and Archived.

  • Allow filtering on the Invitation list in Attendee Sync: Planners/subscribers can now set up Attendee Sync on the Invitation List (in addition to Registration Type and Responded Through) from within the Cvent platform.

  • Expected Release Date: 18 September, 2024

REST API Endpoint to Return Passkey Bridge Details of Event Registrants

This enhancement allows developers to retrieve data from a new REST API endpoint containing bridge information for each attendee in an event using the two-way Passkey integration.

This new endpoint will return the following two fields:

  1. Passkey Bridge ID

  2. Personalized Passkey booking URL

Planners can use the Bridge ID for each registrant to manually sync data between Passkey and registrations if the hotel reservations are made outside the integration flow. They can do so by logging in to the Passkey account. They can also easily share the booking URL with the corresponding attendees to navigate them directly to their personalized reservation page and make the room booking process easier.

Previously, planners had no direct way to access these Bridge details using the two-way Passkey integration. This new endpoint will minimize the time required for tasks like linking the records and directing them to the room reservation page.

Things to Know:

  • For events that don't have the two-way Passkey integration enabled, the call will return a blank value for each of the above fields

  • Both the fields will return a value only for invitees in an "Accepted" status

  • The booking URL will only be available for registrations completed after this release

Surveys

Recurring Reminder Emails for Event Feedback (Premium Surveys)

To enhance the response rate for event feedback, planners can send recurring reminder emails to prompt attendees to respond to the event survey.

  • Planners can schedule these reminder emails and set the intervals at which they should be sent.

  • This new feature streamlines the process and reduces the manual effort required to resend reminders, ensuring that attendees are prompted to complete the survey if they have not already done so.

  • When configuring the reminder email, planners can select "Automatically send reminders." They can then specify the interval at which the emails will be sent and set an end date for when the reminders should stop.

  • NOTE: This is only available for Premium Surveys.

Streamlined Survey Creation Workflow

Creating surveys has become easier. Planners can generate both Event and Standalone surveys directly from the Survey blade. This enhancement enables planners with limited permissions, restricted to the Survey blade, to set up event surveys as part of the event data configuration. Previously, planners could only create event surveys within the event. Additionally, it streamlines the process by eliminating the need to switch between multiple blades for survey creation.

Clicking on the "Create Survey" button on the Surveys blade will provide the following options to create the survey:

  • Event Survey

  • Survey

Clicking on "Event Survey" will give planners the following options from the Surveys blade:

  • Start Fresh

  • Copy Survey

If "Start Fresh" is selected, the planner will be asked to fill out the following form with survey details.

Once the event survey is created through the survey blade, it will be available for the planners to link to an event. Planners working on the event blade can now choose the existing survey through the "Link existing survey" option and link the event to the survey.

Planners creating premium surveys from Events will have the following options:

  • Start Fresh

  • Copy Survey

  • Link Existing Survey

For planners creating standalone surveys, they will be provided with the following options:

  • Start fresh

  • Copy survey

  • Use template
