Exchange Solutions News for 2 October 2024
We're thrilled to share that our product team is hard at work, crafting significant improvements that we're certain you will love. Curious to know what we have in store for you in the next window? Keep reading to get a sneak peek of the exciting enhancements that await you!
Starting with...
New: Auto Block Request Notifications
We have improved the notifications and organization of Block Request alerts. Specifically, we now provide specialized alerts for Auto Block requests and have separated out other types of block requests.
On the homepage, you will now see two types of alerts for Auto Block requests:
Manual approval - These alerts will indicate the number of block requests that are still "Pending Approval" and require your approval as the event organizer for the named event.
Automatic approval - These alerts will show the number of submitted block requests and automatically approved in the last 7 days for the named event.
Regardless of the type of block request, clicking the blue link will redirect the user to the Sub-Block Group Management page. This page lets you conveniently view the relevant Sub-Block Groups associated with the block requests.
For example, the three types of block requests are organized like this:
Example showing sub-block groups relevant to the "Manual Approval" example. Note the "Pending approval" label indicating that you must take action on these:
Here are the key benefits of the recent updates:
Clear alerts: As the event organizer, the system will notify you about incoming Auto Block requests requiring your review or approval. This ensures that you stay informed and can take necessary actions promptly.
Improved organization: The updates have resulted in a clearer organization of block request notifications. This enhances the overall user experience by making managing and prioritizing block requests easier.
What's coming up next?
We plan to introduce better filtering and sorting options on the Sub-Block Group Management page soon. This enhancement will further improve efficiency by allowing you to quickly find and manage the relevant Sub-Block Groups based on your specific needs.
Now let's dive into the exciting new enhancements with Cvent Supplier Network's New experience!
Guest Room Notes in New Experience
We are excited to announce a new feature that will enhance the way you manage and communicate details for your sleeping rooms: Guest Room Notes.
With Guest Room Notes, you can now put details in the one common note listed in the guest room section.
Key Benefits of Guest Room Notes:
Unified Communication: Easily share important information with suppliers centrally, reducing the risk of miscommunication and ensuring consistency across all room nights.
Streamlined Management: Save time by adding a single note that applies to the entire duration of a stay, rather than entering information repeatedly for each individual night.
What else? Introducing Changes to RFP Bid Comparison Reports to boost awareness of Smart Custom Proposals
We have made an important discovery based on our tracking analytics and valuable customer feedback. It appears that many planners, like yourself, prefer to directly access the Bid Comparison Reports to review proposal information rather than viewing individual proposals within the application. This observation has led us to make a significant improvement.
We have taken proactive steps to enhance your experience and provide you with a more streamlined process. We have now prioritized hotels that have submitted Smart Custom Proposals, ensuring you are prominently featured in the Bid Comparison Reports UI.
By doing so, we have made it even more convenient for you to access and assess the proposal information that matters most to you. With this update, you can easily compare and evaluate the Smart Custom Proposals alongside other proposals within the Bid Comparison Reports, saving you time and effort.
How do I know if this feature applies to me?
This feature applies to Complimentary Planner accounts that cannot save custom templates. If you meet these criteria, you will see the updates and be able to access the Smart Custom Proposals within the Bid Comparison Reports UI.
What are the most important and valuable things to know about this release?
In this release, we have improved the reports designer and export feature. The groupings will now prioritize venues that have submitted a Smart Custom Proposal (SCP). Additionally, the venues will be sorted by metro area and then alphabetically by name. These updates aim to enhance your experience when generating reports and reviewing proposals.
Last but not least, Introducing Reposite redirection for Cvent Planners
Overview:
With the Reposite acquisition, we have made changes to the existing Vendor Marketplace entry point. As the first phase of the integration, we are redirecting Cvent planners to a custom Reposite landing page when they click on the "Find Vendors" button from the All RFPs page from the new or old CSN Planner experience.
This change enables Cvent you to utilize Reposite for sending RFPs to vendors across multiple categories.
Key Features:
Vendor Marketplace Redirection: The "Find Vendors" buttons now redirect you to Reposite, our newly acquired platform. You can seamlessly transition to using Reposite for sending RFPs to vendors in various categories.
Custom Landing Page for Cvent Planners: A dedicated Reposite landing page has been created specifically for you. This page serves as a gateway to Reposite, providing a tailored experience and allowing planners to easily access Reposite's features.
Login and Signup: If you have existing Reposite credentials, you can directly log in to Reposite from the custom landing page. A signup option is available for new users, enabling you to create an account and start using Reposite quickly.
Feature Visibility:
Seamless Access for Cvent Planners: You can now access Reposite using the existing "Find Vendors" button, ensuring a smooth transition.
Exclusion of Sensitive Accounts: Sensitive accounts can be excluded from the redirection to Reposite through an experiment feature.
Notable Changes Post-Redirection:
You cannot create new Vendor RFIs or update the existing ones via Event Container or Meeting Requests. The draft Vendor RFIs will be hidden, and you can only view and manage your active Vendor RFIs from all touchpoints.
The Vendor Showcase and Vendor recommendations feature on new and old CSN planner experience, respectively, will be temporarily unavailable. We are exploring alternatives for Reposite RFPs.
We are committed to enhancing the integration and working on upcoming improvements to optimize your Reposite experience further. Additionally, we have plans to integrate Reposite data with Cvent, providing enhanced reporting capabilities for you. Your feedback is valuable to us, and we encourage you to reach out with any questions or suggestions.
