Updates in the Cvent Supplier Network's re-designed new experience:

RFP Showcase Preferences & Auto Opt-in

We're excited to introduce the RFP Showcase Preferences and Auto-Opt In feature to the re-designed Cvent Supplier Network (CSN). This enhancement builds on our existing RFP Showcase offering, bringing you more customization and efficiency.

The RFP Showcase Preferences and Auto-Opt In feature is designed to streamline the RFP process, offering more personalization and reach. By embracing these new capabilities, you can maximize their efficiency and find the best venues that align with your unique preferences.

What’s New:

  1. Set Preferences for RFPs: You now have the ability to define preferences that determine which venues can bid on an RFP. Preferences can be set for various aspects such as Budgeted Room Rates, Diamond/Star Ratings, Supplier Categories, and Preferred Cities. This ensures you receive bids that align with your specific requirements and expectations.

  2. Auto-Opt In for Low Response Rate: If an RFP is experiencing a low response rate, it will be automatically enrolled in the RFP Showcase. This feature helps you gain more attraction and facilitates receiving more hotel bids that meet the RFP's criteria.

  3. Enhanced Flexibility in Venue Selection: You can continue to accept bids from hotels in different metro areas, based on additional conditions like the venue's diamond ratings or tariffs. This broadens the scope of venue recommendations, assisting you in finding the best fit for your needs.

  • Planners using CSN in the new experience

What are the most important or valuable things to know about this release?

  • Prior to this release, the RFP form in the new experience only offered the ability to manually upload files from your computer.

  • Now any documents or files set up within the Admin Document Library to automatically attach to RFPs will also appear for users to reference and manage (based on the existing document settings).

  • If there are auto-attachments uploaded to the account, they can be seen directly on the RFP form under the Other Information section.

Suggested Ads on Turn Down Emails

We are thrilled to announce the launch of our new feature, Suggested Ads on Turn Down Email, for the new Cvent Supplier Network (CSN). Understanding the challenges planners face when they receive a turn down on their RFP, we have introduced this feature to provide planners with alternative venue recommendations.

What’s New:

Suggested Ads on Turn Down Email: Now, when you're using the new CSN experience and receive a turn down on your RFP from a supplier, you will also receive an email containing suggested ads. These ads will recommend alternate venues that fit the RFP requirements, providing you with more options to explore.

Benefits:

  • Enhanced Options: You will have immediate access to alternative venues that match your RFP requirements, even when you receive a turn-down.

  • Efficient Planning Process: This feature aids in simplifying your journey by presenting you with immediate alternatives, reducing search time, and facilitating quicker decision-making.

Ability to Delete RFPs

We are excited to announce a new feature that will allow you to delete RFPs that you no longer need. This feature will be available in the RFP Request Details page for now and the ability to Delete Draft RFPs using RFP List will be available in upcoming releases.
To delete an RFP, you will simply click on the Delete RFP button. A confirmation dialog will be displayed, and you will have the option to cancel or confirm the deletion. Once the deletion is confirmed, the RFP will be removed from your account and will no longer be visible in searches.

  • This new feature will help you keep your accounts organized to avoid confusion.

  • Will allow you to delete duplicate RFPs.

  • It will also allow you to delete RFPs that you no longer need, which will free up space in the system.

Delete RFP feature on RFP List and Request detail page:

  1. Delete Option is displayed for RFPs only in the following statuses:

    1. Pending

    2. Active (All Venues = Not Sent)

    3. Cancelled (All Venues = Not Sent)

  2. Please note that:

    1. RFPs once deleted cannot be viewed/restored in the application.

    2. Draft RFPs cannot be deleted in this release and this feature will be made available in upcoming releases that happen later in this year.

How does it work:

  • When you click on the Delete RFP button, a confirmation dialog is displayed.

  • You can cancel the deletion of an RFP by clicking on the Cancel button.

  • You can confirm the deletion of an RFP by clicking on the Confirm button.

  • Once an RFP is deleted, it is removed from your account and no longer visible in searches.

Last but not least, introducing... our new FAQ feature for Venue Profiles!

FAQs will enhance the experience for both planners and suppliers. Now, frequently asked questions (FAQs) will be displayed on the venue profile page, allowing planners to get answers to common queries before even sending a request for proposal (RFP) to the supplier. This feature is designed to save time and streamline the process for everyone involved.

Important Note: FAQs and Standard Questions are related terms. FAQs is the externally facing term of the Standard Questions feature, but on venue profiles. Default responses to standard questions added under RFPs Blade -> Venues -> Standard Questions will now appear on the venue profile under the FAQs section.

Our new FAQ section will appear at the bottom of the venue profile page, showcasing default responses provided by venues for standard questions. If a question does not have a response yet, it will be displayed as "No Response." This way, you can easily identify which questions require further communication with the supplier.

To make the FAQ section even more user-friendly, you can filter questions by category and search by question text, allowing them to quickly find the information they need.

We believe that this new feature will greatly benefit both planners and suppliers by providing a more efficient and informative platform for communication.
