Enhanced Mass Bid Tool
Expected Release: July 01, 2025
We’re excited to announce significant enhancements to the Mass Bid Tool, directly addressing known challenges in bid updates and disposition workflows. With this release, users will experience real-time syncing, more precise field-level controls, and improved consistency across downstream systems, making the Mass Bid Tool more reliable, accurate, and seamlessly integrated with your core processes.
Background
Previously, the Mass Bid Tool allowed updates to both negotiable and non-negotiable fields for bids in any status. While this flexibility was useful, it led to several challenges:
Updates were saved only as drafts and not immediately reflected on the supply side.
Drafts sometimes caused errors in downstream workflows, such as endless loading in the bid disposition process, which expects finalized submissions.
Users could unintentionally update bids in critical statuses (e.g., Negotiation Received, Account Accepted/Declined), resulting in state inconsistencies.
Bid history for property users did not always accurately reflect status transitions.
What’s New
To address these issues, we have enhanced the Mass Bid Tool with the following improvements:
1. Updates Limited to Non-Negotiable Fields
Only non-negotiable fields can now be updated through the Mass Bid Tool.
Negotiable fields must be updated through the standard negotiation workflow to maintain data integrity.
2. Real-Time Sync with Supply Side
All updates are now instantly synced to the supply side, ensuring both sides of the platform have the latest information and eliminating discrepancies caused by drafts.
3. Improved Downstream System Integration
Systems such as Bid Disposition will now use the most up-to-date data, reducing errors caused by outdated or partial information.
4. Status-Based Controls
Bids in ‘Negotiation Requested’ status are excluded from updates to protect the negotiation process.
For other statuses (e.g., Negotiation Received, Account Accepted/Declined), users can choose to keep the bid in its current status or move it back to ‘New Bid’. Bid history will accurately reflect these transitions.
Why This Matters
These enhancements make the Mass Bid Tool more reliable and user-friendly, offering:
Fewer workflow errors and reduced troubleshooting time
Greater data consistency across demand and supply
A more secure and auditable bid update process
Controlled editing to protect the integrity of critical bid states
Reintroduced GBTA Field 175 "Load Rates in GDS"
Expected Release: July 01, 2025
We’re excited to announce the return of one of the most requested and widely used RFP fields — GBTA Field 175: “Load rates in GDS” — now available in the new user experience (UX). This enhancement brings the new platform in line with the legacy workflow, delivering improved policy governance and seamless handling of this field throughout the RFP lifecycle.
Background
GBTA Field 175 has historically been a critical component in RFP negotiations. It enables buyers to confirm whether a supplier intends to load negotiated rates into the Global Distribution System (GDS), ensuring visibility and compliance during the rate loading process.
In the legacy workflow, this field could be:
Requested and marked as required during program setup
Negotiated based on the supplier’s bid submission
However, the new UX's initial release did not support this field, resulting in workflow gaps and strong feedback from the buyer community requesting its reinstatement.
What's New
With this release, GBTA Field 175 is now introduced as a policy field in the new UX, unlocking broader functionality and control.
Key Enhancements:
Policy-Based Governance
“Load rates in GDS” now follows the standard policy workflow, allowing for consistent enforcement and compliance.Integrated Across Modules
Field 175 is available in both Program Setup and Negotiation, ensuring end-to-end visibility and management.Improved Buyer-Supplier Alignment
Buyers gain more control over how and when rates are loaded, while suppliers have clear visibility into the field’s status and expectations during submission.
Why This Matters
By introducing Field 175 as a structured policy in the new UX, we’re enabling:
A familiar and trusted negotiation point for buyers
Clear compliance mechanisms through policy enforcement
Streamlined rate loading expectations, reducing follow-ups and errors
A consistent experience across both legacy and modern workflows
Scaled-Up Bid Disposition Workflow
Expected Release: Available Now
We’re pleased to announce a major performance upgrade to the bid disposition workflow, designed to support users managing large volumes of hotel proposals. This release directly addresses user feedback about timeouts and slow response times when processing bids in bulk, ensuring a faster and more reliable experience.
Background
Previously, users who attempted to dispose of thousands of proposals at once often encountered system timeouts and delays. These issues disrupted the ability to efficiently complete the acceptance or rejection of large sets of hotel responses, impacting overall productivity and workflow reliability.
What's New
With this enhancement, the bid disposition workflow has been scaled to seamlessly support up to 10,000 bids in a single session. This upgrade delivers:
Elimination of Timeouts
The workflow now efficiently handles large-scale bid dispositions, resolving the timeout issues previously experienced when processing thousands of bids at once.Faster Processing
Users will notice significantly improved response times, which will make it easier to complete acceptance and rejection workflows on schedule, even under heavy load.Streamlined Experience
The enhanced performance ensures a smoother and more reliable transition from the bid list to the disposition workflow.
Why This Matters
These improvements enable users to manage high volumes of hotel proposals with greater speed and confidence, reducing delays and supporting timely decision-making during busy RFP cycles.
Vendor Marketplace powered by Reposite
Streamline Vendor Sourcing with Event Container
We’re excited to announce a new integration between Event Container and Reposite that makes vendor sourcing easier than ever. With this enhancement, you can now create, link, and manage Reposite projects and RFPs directly within the Event Container interface, seamlessly integrating vendor management into your event workflow.
Key Features
Vendors Card and Tab
You can add a Vendors card to the Event Features tab, which enables a dedicated Vendors tab in the event navigation. This lets you easily source vendors across multiple categories—excluding hotels—all in one centralized place.
Reposite Project Creation and Linking
You can create a Reposite project directly from Event Container, with event details automatically mapped. Each event links to a single Reposite project, and any updates you make in the event will sync to the connected Reposite project, keeping everything aligned and up to date.
RFP Management
Within the Vendors tab, you’ll see your RFPs displayed in a sortable grid. From here, you can easily create new RFPs and access Reposite directly for additional actions, giving you full control over your vendor outreach in one convenient place.
Event Container Details in Reposite
On the Reposite interface, key Event Container information—like the event code and status banners—is displayed clearly to keep you informed about the latest updates at a glance.
No Reposite Subscription
If your organization has SSO enabled but doesn’t have an active Reposite subscription, please contact Cvent Support for assistance in getting set up.
Pre-requisites:
To use the integration, the following must be in place:
SSO Setup: Single sign-on (SSO) must be established between Cvent and Reposite for both your account and user access.
Active Subscription: A valid Reposite subscription is required to create and manage projects and RFPs.
