Top News: Automatic Calendar Hold Email Attachment and more

The product team has 4 big improvements they're working to deliver in this window that we know you’re going to love:

  1. Automatic Calendar Hold with Confirmation Emails - We're excited to announce a new feature designed to boost attendance for your events. This update tackles the common challenge of registrations not translating into actual attendance.

You can now automatically attach a calendar invite to the registration confirmation, guest confirmation, and admin confirmation emails. This eliminates the need for attendees to manually add the event to their calendars.

    Benefits:

    • Increased Attendance: By simplifying the process and providing a clear reminder with all the event details, attendees are more likely to show up.

    • Improved Convenience: The calendar invite automatically includes vital information like date, time, and access details (virtual link or location) – all readily available in their calendar app.

    • Reduced Manual Steps: Attendees no longer need to remember to add the event to their calendars, saving them time and reducing the risk of missed events.

    How it Works:

    1. On the email detail page for confirmation emails, you can toggle on the option "Attach calendar file" and click Save. By default, the feature will be disabled for all existing events, and this feature will be enabled for all the new events created during the release.

    2. A new section will appear in the email designer, letting you know that an attachment has been added to this email.

    3. Upon successful registration, attendees will receive a confirmation email with a calendar invite attachment.

    4. The event details will be automatically added to their preferred calendar app, marked as tentative.

  2. Enhanced Event Voucher Code Management - Previously, creating voucher codes was straightforward. However, if adjustments were needed after registration was complete, you had to rely on our support team to update or remove codes or even add new ones for attendees who missed it initially. This update eliminates the need for you to contact our support team to manage voucher codes.

You now can directly update, remove, or add voucher codes within the attendee management interface. This enhanced control empowers you to:

    • Update Existing Codes: Modify the previously associated voucher code for an already registered attendee.

    • Remove Voucher Codes: Remove the associated voucher code for an already registered attendee.

    • Add New Voucher Codes: Add a voucher code to an already registered attendee.

    How it Works:

    1. Navigate to the Attendee detail page for the specific attendee you wish to modify.

    2. Locate the "Voucher Code" section within the attendee information.

    3. Click Edit, and use the new option to update, remove, or add a voucher code as required.

  3. Exhibitor Portal: Appointment Details Report - We are introducing a new Appointment details report that enables Exhibitor Admins to view all scheduled appointments for your booth staff within a specific event. This report will provide you with a comprehensive view of all the appointments that your team has made.

The report will contain details such as the Appointment Name, Appointment Date and Time, Appointment Location, Appointment Status, Host, and Attendees' information. Attendee details in this report include First Name, Last Name, Company, and Title, with the option to hide Company and Title via Attendee shared fields under Exhibitor Settings.

This report will also have 2 additional columns: "Qualification Status" and "Lead Name”. Qualification Status refers to the qualification of one of the appointment attendees using the LeadCapture app when checking attendees into the appointment, while "Lead Name" refers to the name of the qualified lead.

  4. Unregister Group members in bulk from planner side - We're excited to announce a new enhancement to the "Group" tab under Invitee details that will help unregister multiple (all or selected) members in a group. This will help you quickly find all the attendees registered in a group and unregister them together, rather than trying to find and select each group member manually from the attendee list.

Upon selecting at least a single group member from the table, the "Change Status To" option is made visible. You can use the unregister option here to unregister selected group members from this page itself.

2 additional improvements to make your job easier

If you thought the above items are exciting, wait until you see what else the team plans to release in the next launch window:

  • Adding Discount Code to Existing Order via Rest API - We are excited to announce the release of a new REST API functionality that empowers you to associate a discount code with an existing order. This allows you to retroactively apply discounts, creating more sales opportunities and greater flexibility and control over order pricing. A new REST API endpoint (associateDiscountCodeToOrderItem) has been implemented to facilitate the association of a discount code with an existing order.

  • Exhibitor Portal: Cookie Banner Update - To ensure compliance with the ePrivacy Directive, we're introducing new configuration options for managing browser cookies in the Exhibitor Portal. This empowers you to customize cookie settings for your event's exhibitors, including default setups and notification preferences, aligning with their organization's standards. If configured, you can enable or disable non-essential cookies, but essential cookies will remain required.
