WHEN RAIL USED TO LIVE IN A SPREADSHEET

Elena is planning a large user conference in Berlin. Last year, she used a custom question to collect rail preferences, exported the responses by hand, sent them to her travel agency, and pasted confirmed itineraries back into a spreadsheet.

This year, she set up the request experience in Site Designer and gave attendees a simpler way to share how they want to travel.

• During registration, attendees can choose train, flight, or both.

• Elena can pull the Travel Request Details by Registrant report and share a complete list with her travel agency.

• Once tickets are booked, she can import confirmed train details through the guided wizard using Add or Replace modes.

• She can monitor import status and review failed records on the Recent Imports/Exports page.

Now, every train request and confirmed ticket sits on the attendee travel tab alongside air and hotel. Elena spends less time reconciling spreadsheets, and her Spend per Person reporting can reflect rail costs too.

WHEN THE REGISTRATION FORM MATCHES THE JOURNEY

Tom would rather take the train than fly to the conference. In the past, the registration form only asked about flights, so he registered first and sent a separate email about his rail plans.

This time, Tom chose train during registration. He entered his departure and arrival stations, dates, and times, then reviewed his details before completing registration. His request appeared on the registration summary, and his event email later included his train details through the travel widget.

No side emails. No guessing. Tom planned his trip as part of registration and had his itinerary handy when he needed it.

ONE CONNECTED TRAVEL EXPERIENCE

Elena and Tom are on opposite sides of the same connected travel flow: Elena manages the details, while Tom shares and receives his travel information. The result is less manual work for planners and more flexibility for attendees.

With Train Travel, planners can:

• Collect train requests during registration, either on their own or alongside flight requests.

• Import confirmed train actuals through the guided wizard using Add or Replace modes.

• View requests and imported actuals on the attendee travel tab.

• Report on train requests and actuals with the Travel Request Details by Registrant and Travel Actual Details by Registrant reports.

• Include each recipient’s train request and actual details in event emails with the travel widget.

And attendees can:

• Choose train, flight, or both during registration, without any side emails.

• Enter their departure and arrival stations, dates, and times, then review the details before completing registration.

• See their request on the registration summary and find their confirmed train details in event emails through the travel widget.

Attendees can choose train as another way to get there, including when organizations want to offer more sustainable travel options.
