Room Type Creation Updates

Expected Release Date: 02/25/2026

What's Changed: For licensed and GroupLink-enabled (integrated) Passkey hotels on city-wide events, event organizers and planners will no longer be able to create custom event-only room types during block setup. Instead, planners will only be able to select from the hotel’s Room Type Library when configuring blocks.

• The “New Room” (custom room) option will continue to be available when:

  • An organizer at a sister property is creating blocks, or

  • The organizer is working with one or more non-licensed or non-integrated hotels.

• To adjust how rooms appear on the attendee booking website, planners should now use Room Categories, which are visible to hotel users and available to all customers. Room Categories let planners:

  • Group one or more room types into a single category

  • Control the sell order when multiple room types are in a category

  • Update the display name and description shown to attendees

This change keeps room inventory aligned with the hotel’s configuration while still allowing planners flexibility in how options are presented to attendees.

Looking ahead, Cvent plans to enhance Room Categories with the ability to manage and upload custom images at the category level, making category-based selling even more customizable and visually engaging.

Benefit: This update balances inventory accuracy for hotels with presentation flexibility for planners. Key benefits include:

• Stronger consistency across systems: Using only room types from the hotel’s Room Type Library helps keep room inventory and naming aligned between Passkey and hotel systems.

• Flexible, planner-controlled display: Room Categories give planners control over grouping, ordering, and labeling room options without needing to build custom event-only room types.

• Clearer attendee experience: Well-structured categories, tailored names, and descriptions (and future images) help attendees quickly understand and select the right room.

Date Change

Hotel and Room Filters in the Multi-Room Booking Tool is now expected to be released on February 25, 2026.
