Exchange Solutions Releases for December 17, 2025
Cvent Supplier Network
Planner RFP Required Pricing Preferences
Overview
When reviewing hotel proposals on the Cvent Supplier Network, it can be hard to know whether mandatory fees—like resort, facility, or housekeeping fees—are included in the quoted guest room cost. This can make it difficult for you to compare proposals or understand your true event expenses.
To give you clearer and more consistent pricing, Cvent is making resort fee, facility fee, and housekeeping fee fields required on every supplier proposal. You’ll now have full visibility into these fees, every time.
What's new:
1. Clearer Pricing on Every Proposal
These three mandatory fees will be required on all proposals, ensuring you always see the amounts and quantities tied to each charge—no extra steps needed.
2. Transparency for All Accounts
No matter what Cvent package you use, you’ll be able to view all mandatory fees directly in the Estimated Costs section of the proposal.
3. Consistent Experience for Pricing Preferences Users
If your account includes full Pricing Preferences capabilities, these fees will automatically be marked required and locked to ensure accurate price calculations.
4. Even Better Pricing Accuracy Coming Soon
In a future release, Cvent will automatically calculate each fee using the amount, quantity, and any applicable service charge—and include it directly in the total guest room cost. This will give you the clearest, most accurate cost comparison yet.

New Setting Added to Map Configuration to Hide Distance Between Hotel and Event Location
Overview:
On the attendee booking site, you may want to display the distance between each hotel and your event location to help attendees make informed decisions about their bookings. However, for events with multiple venues—such as film festivals or sporting events—displaying a single distance can be confusing or misleading.
We’re pleased to share that you can now hide the default distance displayed on the attendee booking site. This new configuration option gives you greater flexibility and control, ensuring your event information is clear, accurate, and better suited for multi-location events.
What’s New:
You can now control whether distance information appears on your attendee booking site through a new configuration option located at:
Event → Website → Event Website → Advanced → Maps → Settings
New Checkbox: Hide “Distance from Venue” everywhere it appears
Here’s how it works:
Default Setting: The box is unchecked, so distances will continue to display as usual.
When Checked:
The distance between your venue and hotels will no longer appear on the attendee booking site.
This setting is event-specific, giving you full control on an event-by-event basis.
You can preview the change before publishing to ensure it meets your needs.
Sorting: The “sort by distance” option will be removed, preventing attendees from viewing or using distance-based sorting.
How It Will Help:
Improved flexibility: You can decide whether to show or hide distance information based on the needs of your event.
Cleaner user experience: Especially helpful for events with multiple venues, ensuring attendees aren’t presented with confusing or irrelevant distance details.
