Streamlined RFP Showcase Reporting: Focus on Active Venue Proposals with One-Click Filtering

We’re excited to share a powerful update to the RFP Showcase reporting experience. This enhancement makes it easier than ever to review and manage venue responses, giving you quicker access to the details that drive smarter decisions.

Sharper Venue Insights
Sorting through multiple proposals can be time-consuming, so we’ve designed this update to help you zero in on what matters most:

• Meaningful responses first: By default, reports now display only venues that have taken action—submitted a proposal or been awarded.

• Effortless flexibility: A simple radio button lets you switch views and see other venue statuses when needed.

• Streamlined decision-making: Active proposals rise to the top, minimizing clutter and allowing you to focus on selecting the right venue faster.ns faster

Streamlined Decision-Making

Managing RFPs often means sorting through a long list of venues, many of which haven’t taken meaningful action. This enhancement simplifies that process so you can:

• Focus on active engagement: Instantly see venues that have submitted proposals or been awarded.

• Cut through the noise: Remove clutter from claimed-but-inactive venues.

• Stay flexible: Use a simple toggle to view the full venue list whenever needed.

• Gain clarity: Access response reason comments for additional context.

How to take advantage

This update is already live in your CSN reporting interface. When running reports such as “RFPs Booking & Suppliers,” “RFPs & Suppliers,” or “RFP Extract,” you’ll notice:

• A cleaner default view that highlights only active proposals and awarded venues from RFP Showcase.

• A new radio button in the Field tab lets you include other venue statuses with one click.

This enhancement is another step in our commitment to streamlining workflows, reducing administrative overhead, and helping you find the right venue faster.

Planner Feedback Items for Smart Custom Proposals

We’ve listened to your feedback and are excited to introduce updates that make reviewing proposals easier, clearer, and more flexible. With these improvements, Smart Custom Proposals are designed to better support your sourcing process and save you time.

What’s New:

• Flexible agenda details: Agenda items without strict start or end times now display with placeholder text, giving you greater clarity and flexibility when evaluating proposals.

• Improved readability: You can easily expand or collapse all guest room details for a cleaner, more streamlined view of the proposal template.

• Seamless experience: Your feedback has been incorporated to remove usability gaps and reduce workflow friction—making proposals easier to navigate than ever.

These enhancements are just the beginning of how we’re shaping Smart Custom Proposals around your needs, ensuring you have the tools to source smarter and make decisions faster.

Introducing Planner User Permissions and Project Visibility Restrictions

We’re excited to roll out role-based permissions, giving organization admins greater control over who can view and edit projects. This update is designed for enterprise accounts with multiple teams and locations, ensuring that only authorized users have access to specific projects and related RFPs.

Key Benefits:

• Granular control: Project visibility is now managed at the user level, while admins retain full access to all projects across the account.

• Collaborative flexibility: Planners can easily add co-workers as collaborators to work together on an event.

• Enhanced security and efficiency: Keep sensitive information secure while streamlining collaboration across teams.

With these enhancements, managing large user bases becomes simpler, collaboration becomes smoother, and your team can work more confidently and efficiently.

User Permissions

Admins:

• Full visibility and control over all projects and account settings

• Can add/remove users, assign roles, manage account profile, and email settings

• Can manage collaborators on any project

Full Access Users:

• Can create, view, and manage their own projects and any projects they are added to as collaborators

• Can manage contacts, invite suppliers, and upload files

• Cannot add or remove users or change account-wide settings

Read-Only Users:

• Can only view projects they created or are added to as collaborators

• Cannot edit, add, or delete information within the account

Collaborators

Assignment and Management:

• Admins will be added as collaborators on all the projects by default

• Only Admins and Project Creators can manage collaborators on a project

• Visibility rules apply to all project-related entities, including RFPs, quotes, and tasks

• Projects shared by other team members would be visible under the "Active Team Projects" section

• Project Creators cannot leave their own projects

Additional Notes

User Management Enhancements:

• When removing a user, admins can transfer that user’s projects and RFPs to another user or themselves

Notifications:

• Users receive email notifications when added to a project and for project-related activities
