Top News: Lock Widget Fields, New Certificate Data Tags, and more

Happy Holidays! The product team has 3 big improvements they're working to deliver in this window that we know you’re going to love:

  1. Lock Fields Widget Level Access Control - The new Lock Fields capability allows you to lock specific components on the website or registration form so that users without the appropriate permissions cannot edit the fields. This will ensure that:

    • You collect all your critical information during the registration.

    • Users who are just working in the context of an event and are not aware of the broader impact of collecting some pieces of information are not able to make changes that they should not be making.

    Lock the field for the Event (Site Designer) - Users who have permissions in the site designer can:

    • Lock specific fields on the website or registration form.

    • See the new Lock Field section displayed at the bottom of the widget panel.

    • Flip the Lock Field toggle to ON to lock the selected field.

    • Flip a previously locked field to OFF.

    • Add an Admin note (optional) to allow users without access to know why they can’t make changes to the specific field.

    Accessing the Locked Widget (Site Designer) - Users without permissions:

    • Will see a locked icon displayed along with the note, if added by the administrator.

    • Cannot remove, edit, move, hide, delete, or style the locked widget.

    Permission and Access Control

    • Admins can select users that can lock or unlock fields on the event website and registration pages under Event Permissions

    • Change the Lock Field Management setting to “Full Access” if the selected user role should have permission to lock or unlock the fields

    • Partial access can be given to users to lock/unlock

      • Contact Fields (Standard Contact Field and Custom Contact Field)

      • Registration Question

      • Custom Widget (Custom Code Widget)

      • Example: If Access Area is selected as Registration Question, the user can lock/unlock the Registration Question widget added on the Website or Registration form but cannot edit any other widget type if it is locked

  2. Session and Score Data Tags in Certificate Designer - You will now be able to add session and score specific data tags when designing certificates, making it easier to create certificates for professional development and training focused events. You can design certificates that are more personalized and with relevant session and score specific data for the attendees.

    You can find the new session level data tags and score data tags under the category, named Sessions and Registrant respectively, in the data tag picker. Thee will only be available in session emails where the email is associated to the session(s).

    Session data tags under Session category:

    • Session Name

    • Session Start Date

    • Session End Date

    • Session Duration

    • Session Participation Duration

    • Session Custom Fields

    • Session Speaker

    Session data tags under Registrant category:

    • Registrant's chapter score

    • Registrant's percent chapter score

    • Registrant's possible chapter score

  3. Order Details widget in Event Emails - Add and customize the "Order Details" widget in event emails. The new widget is designed to replace the existing Order Details data tag and will provide you with greater control over the content and theming of Order Information. The emails sent with the Order Details widget will display the order generated after selection by the registrant for themselves and their guests.

    The "Order Details" widget is available in the Email Designer for event emails. You can drag and drop the widget to configure and style the widget in the email designer. Changing the theme within the email designer applies to the Order Details widget.

2 additional improvements to make your job easier

If you thought the above items are exciting, wait until you see what else the team plans to release in the next launch window:

  • Exhibitor Image Updates - Previously, you had limited editing options available in Exhibitor Management & the Exhibitor Portal for logos and banners. With this update, we will allow you to upload and edit images, using a similar image editor used across the Cvent platform.

    You can now crop and resize images to ensure the images meet specific requirements for Attendee Hub and the Exhibitor Portal. This updated image editor will apply to Exhibitor logos & their booth banners.

  • Email only invitation for Private Events via OAuth - For events with OAuth enabled, where the event is set as Private (e.g., "Only those on invitation lists" or "Only those on certain invitation lists"), and the "How will invitees register" is set to "Through Email Invitation Only" only those on the specified invitation lists will be able to register. This will ensure that only the individuals on the invitation list can register for the event.
