Contact Snapshot
When organizers update attendee details inside an event, those changes can impact the global Address Book. This creates risk around data accuracy, privacy controls, and unintended downstream effects across other events. Teams need a way to safely manage event-specific contact updates while maintaining centralized data governance.
The Contact Snapshot feature allows event data to be managed within the context of an event without altering global records, giving organizers confidence to make necessary updates while preserving organizational data integrity.
Program Administrators control this capability through Data/Privacy templates, ensuring consistent application and governance across the organization.
What Contact Snapshot solves
Unintended global data changes – Event-level edits can currently overwrite shared contact records, creating data quality and compliance risks.
Data governance concerns – Administrators lack granular control over how event-level changes affect centralized contact data.
Organizer hesitation to update attendee details – Organizers may avoid making needed corrections due to fear of impacting global records.
What’s included
Admin-controlled enablement via Data/Privacy templates
Administrators can enable Contact Snapshot by updating the Data/Privacy template. The feature is off by default to prevent unintended behavior. Once enabled, it applies to new events created after the template update; existing events remain unchanged.Template-driven activation for events
When a organizer uses a template with Contact Snapshot enabled, the setting is automatically applied during event creation. The feature cannot be turned on manually at the event level.Locked event-level setting visibility
The setting appears as enabled and locked on the Event Details page when applicable. It is not shown for events where the template does not include the feature.Template switching restrictions
Switching templates will not impact this feature for an event, maintaining data governance and preventing accidental changes.
