      The existing meeting notes feature is underutilized due to limited access, late availability, poor discoverability, and lack of integration. This enhancement introduces a modernized meeting notes experience that is accessible, timely, mobile-friendly, and tightly integrated with workflows like CRM sync and notifications, unlocking broader adoption across users and improving post-meeting follow-ups.


      Problem Statement

      The current meeting notes module suffers from the following limitations:

      • Only admins can create or edit notes

      • Notes can be added only after a meeting is submitted

      • Poor discoverability — users must manually access the meeting to edit/view notes

      • No notifications or prompts when notes are updated


      Key Highlights

      1. Access for Non-Admins

      • Allow internal participants and users with meeting edit access to view and contribute to meeting notes.

      • Encourage shared ownership of post-meeting documentation.

      2. Create Notes During Meeting Creation

      • Enable users to add notes even before the meeting is submitted.

      • Captures key context and objectives upfront, making meetings more focused.

      3. Mobile Support

      • View, edit, and update notes directly from the Jifflenow mobile app.

      • Enables on-the-go documentation during in-person or remote meetings.

      4. Improved Discovery

      • Show notes more prominently on the meeting card and detail view

      • Introduce a "Recent Notes" or "Meetings with Notes" filter to make them easy to find

      5. Notifications for Notes

      • Notify participants when notes are created or edited, especially if tagged or if action items are added.

      • Promotes accountability and engagement.

      6. Simplified Sharing

      • Enable easy export/download of notes to share with attendees or other stakeholders.

      • Support public/private visibility for sensitive content.

      7. CRM Data Sync

      • Automatically push structured notes content (summary, action items) to integrated CRMs (e.g., Salesforce, HubSpot).

      • Reduces double entry and enhances visibility across tools.

      8. Notes Reporting

      • Include notes in meeting analytics and reports

      • Allow admins to search/filter notes across events and participants for insights
