Jifflenow: Simplifying Engagement Type Access Management
Managing access to event engagement types is inconsistent and confusing for users and Meeting Managers(MMs). Default access permissions vary depending on user roles and how the user is added to an event, leading to unpredictability, errors, and increased support requests.
Key Challenges
Inconsistent Default Access: Users can't reliably predict what permissions they will receive when added to an event, especially for engagement types like meeting participation and requests.
Confusing Future Access Settings: The existing “future created/updated” engagement type access checkboxes are unclear and frequently misused, complicating access control further.
Role-Based Gaps: Expectations vary by role (MM, JMM, Requestor, etc.), but the system does not consistently honor those expectations, frustrating users.
Workflow Disparity: Different entry points (company-level add, book meeting flow, integrations) assign access differently, making the experience inconsistent.
Administrative Burden: Admins spend excessive time adjusting access manually due to the unpredictable default behaviors.

We are simplifying and standardizing how engagement type access is assigned, eliminating ambiguity and reducing manual overhead.
Removal Of Confusing Future Access Checkboxes
The “future created/updated” checkboxes in user profiles will be removed.
These will be replaced with a default role-based behavior, giving users access as per the matrix below if their role has access to the engagement type:

The access update popup under Engagement Type > Basics will now reflect access changes based on role-specific behavior using updated phrasing:Request Only
: Shown for non-attendee roles.Request & Participate
: Shown only for Attendees.Removed Access
: Will list all removed roles including Attendees.
Standardizing Access Across All User Addition Flows
No matter how a user is added (company-level, integration, book meeting flow), their engagement type access will now follow the same logic:
Editable by MMs: MMs can still update access manually from the event interface.
CSV Upload: Honors the access values defined in the upload.
Event User List UI: Maintains current pre-fill behavior.
Simplifying the Attendee Addition Form
When adding attendees via the company or event user list, the current requirement to re-enter the email address will be removed, aligning the experience with other user roles.
