Embedded Walk-in Registration
Summary
With Embedded Registration in OnArrival, you can now run your Cvent registration site directly inside OnArrival at the check-in desk and kiosks. Instead of rebuilding a separate onsite registration flow, you configure your site once in Reg Site Designer and use that same modern registration experience both online and onsite.
This makes onsite registration more powerful, consistent, and easier to manage—with the same paths, logic, payments, and questions you already rely on in your Cvent registration site, now available at the event venue.

Real-time sync to OnArrival
When a planner or attendee completes registration via Embedded Registration, the attendee record syncs back to the event so staff can immediately check them in and print badges from OnArrival.

How It Works
1. Configure your Cvent registration site
Build your registration as usual in Reg Site Designer, including paths, questions, payments, branding, and any advanced logic you need.
Ensure the site is mobile-friendly so it looks good on kiosks and tablets.
For Online registration (the full registration experience that Embedded Registration uses onsite), select a single registration path. Multiple paths cannot be selected for Online registration when using it with OnArrival Embedded Registration.
If no registration path is created, the “No reg path” (the system default path) will be used automatically.
Best practice: Create and select a dedicated path that represents your full, primary registration experience for attendees you expect to register onsite.
2. Enable Embedded Registration in OnArrival (for eligible events)
For supported Core events:
Open OnArrival Settings for your event.
Choose whether to use:
Legacy Onsite Registration, or
Embedded Registration (uses your Cvent registration site inside OnArrival).
When Embedded Registration is enabled:
OnArrival’s native onsite registration configuration is turned off—your Cvent registration site now controls the registration questions and flow.
Self-registration via QR code remains available and routes attendees through the embedded registration experience.
3. Use it onsite
Staff-assisted registration (OnArrival app)
Staff start registration from the OnArrival app (e.g., “Register” or “Add attendee”).
OnArrival opens your embedded registration site in-app.
Staff complete the registration on behalf of the attendee, following the same paths, questions, and payment steps you configured online.
Once submitted, the attendee becomes available in OnArrival for check-in and badge printing.

Self-service registration (OnArrival Kiosk)
Attendees interact with the kiosk, which shows your registration site in a streamlined kiosk view via Embedded Registration.
They complete the steps as they would online.
OnArrival receives their registration details and status so they can be checked in and have badges printed.

Embedded Registration is currently available for online events that use a Cvent registration site built in Reg Site Designer.

This capability is currently not part of Essentials by default and may remain disabled unless it is explicitly enabled for your account.
Rollout may begin as a controlled/flagged release, so availability can vary by account and event. Your Cvent representative can confirm eligibility for your portfolio.
What Stays the Same
Even with Embedded Registration:
OnArrival still powers check-in, badge printing, and onsite activity tracking as before.
Your existing Cvent registration site continues to be used for online registration—Embedded Registration simply brings that same experience to the venue inside OnArrival.
