      iCapture is introducing new Post-Event Meeting Booking capabilities that let event teams schedule post‑event meetings directly from iCapture using their existing scheduling tools. This closes the gap between capturing a lead at the booth and getting that person onto a rep’s calendar, helping trade show managers prove ROI with meetings booked instead of just leads captured.


      With Post-Event Meeting Booking, shared customers can now:

      • Book meetings the moment a lead is captured. After a lead is captured in iCapture, booth staff can tap “Schedule Meeting” from the lead view in the web or mobile app to immediately start the scheduling flow.

      • Use existing Calendly, Chili Piper, or HubSpot setups—no new scheduler to learn. iCapture connects to the customer’s own Calendly event types, Chili Piper routers, or HubSpot meeting links, so all availability rules, routing, and calendar integrations stay owned and managed in their current tools.

      • Support individual, round‑robin, and multi‑host meetings. Whether a customer wants 1:1 demos, pooled routing across a sales pod, or joint meetings with an AE and SE, the integration honors the provider’s individual, round robin, collective/team, and routing‑form models.

      • Keep reps inside iCapture with embedded schedulers. The scheduling experience opens as an embedded widget (or webview on mobile) so reps don’t have to jump between apps while they’re still in the conversation.

      • Prefill attendee details and track meetings back to leads. iCapture passes the captured lead’s key details (like name, email, and company) into the scheduling provider and links the resulting meeting back to the original lead record, giving event teams visibility into which booth conversations turned into actual meetings.

      • Let best‑in-class tools handle routing, invites, and CRM logging. Calendly, Chili Piper, and HubSpot continue to own availability, routing logic, calendar sync, invites, and CRM logging, while iCapture focuses on initiating the flow and surfacing the outcome alongside event leads.

      • Handle real‑world event connectivity. When onsite Wi‑Fi is spotty, teams can still capture the lead and return later to complete the scheduling flow, so they don’t lose speed‑to‑lead even if the network slows them down.

      Who is this for?

      • Trade show and event marketers who need to prove impact by showing how many demos and follow‑up meetings were booked from each event, not just how many leads were captured.

      • Sales and SDR teams who want qualified meetings routed to the right rep or territory as quickly as possible once the show ends.

      Important notes

      • Phase 1 providers: Calendly, Chili Piper, and HubSpot meeting scheduler are supported in this first phase.

      • Bring‑your‑own account: Customers must already have an active Calendly, Chili Piper, or HubSpot account with configured event types/routers/meeting links and connected calendars; iCapture plugs into those existing configurations.

      • Embedded UI + fallback: The default experience keeps scheduling embedded inside iCapture; if there are limitations with provider widgets or venue networks, customers can optionally open the scheduler in a new tab as a fallback.
