Automatic Calendar Hold for Manually Sent Emails
We’re excited to announce an update to the email and calendar feature in Cvent. Previously, when you sent event or session emails manually from the application, the automatic calendar hold functionality did not work - recipients would not have the session or event automatically added to their calendars. With this release, you will now be able to trigger auto calendar holds when sending emails manually, ensuring a seamless experience for both you and your attendees.
What’s New?
Auto Calendar Hold for Manual Email Sends: When you send event or session emails manually, the system will now automatically create calendar holds for recipients (as long as the email is configured to include calendar attachments).
Key Benefits
You no longer have to rely exclusively on automatic emails to trigger calendar holds.
Attendees will have a more consistent experience, ensuring all emails - manual or automatic - result in proper calendar blocks.
Some example use cases
Resending a confirmation email to an attendee who did not get the email.
You made some updates to the session (updated session date/time, updated session location, for example). To keep their calendar information up to date, you can manually send a session email to all the attendees.
How to Use
Simply send your event or session emails manually as usual; the system will now handle calendar holds automatically if the option is enabled from the respective email type.
Cross Event Insights: Registration Funnel Enhancement
This feature enhancement allows you to segment and analyze registration funnel data across multiple events, focusing on specific funnel sections (such as invitations sent, website visitors, registration visitors, registration, and attendance) and comparing these segments to overall event performance within their account.
Meters and percentages will be dynamically updated based on the selected criteria, providing a clear view of conversion rates at each stage of the funnel.
This feature enables more granular segmentation and real-time insights into how different types of events perform throughout the registration journey. It empowers you to identify bottlenecks, optimize engagement strategies, and drive higher registration and attendance rates across your event programs.
Event Calendar Improvements - Standalone, Embedded Widgets, and Access Portal
We have enhanced and modernized the event calendar experience throughout the platform, bringing easier setup and streamlined interactions for end users. These changes affect the standalone, embedded widgets, and Access Portal calendar experiences.
Calendars are now easier to set up and maintain. We've greatly simplified the event calendar theming, added default layouts, and included a calendar preview.
Attendees and Access Portal users can now explore events much more easily with a modernized interface. Registration and website information are now visible at a glance, and users can quickly navigate to additional events. The calendar view is also customizable, allowing users to choose between list and grid layouts for a more personalized experience.
Attendees can now quickly view event information, register for events, visit event websites, and explore other events, all at a glance.
Things To Know
Standalone: You can configure the theme and layout of the new calendar and preview it before replacing the old experience. Once ready, you can enable the new calendar and disable the legacy calendar.
Embedded Widget: Once you have created a new widget, you can set up a theme and layout and embed the widget code in your marketing websites.
Access Portal: Take advantage of the new calendar experience by configuring your calendar's new theme and layout and selecting the "New Calendar" configuration setting for Access Portal.
Date Change
REST API: List Discount Codes will now be released on September 3. Read more about this release.
Exhibitor Management
Exhibitor Contact Information Updates in Attendee Hub/Event App
This update helps increase the visibility of certain exhibitor contact fields in Attendee Hub and Event App. We made these modifications to address expectations that when exhibitors' addresses and emails were saved in their profiles, they should be visible and accessible to attendees in Attendee Hub. To address this, the following fields will become visible on the exhibitor's page whenever they are captured in Exhibitor Management or the Exhibitor Portal.
Address 1
Address 2
City
State/Region
Zip/Postal code
Country
Phone number
Email
A new section called Company Information will appear beneath the exhibitor's description when a field is active.
Email Icon
This update also generates a mail:to icon that can be used to email the exhibitor directly. If an email is available, a new mail icon will be displayed on the exhibitor's booth page, alongside the existing icons.
Important Things to Know
Exhibitor contact fields are shown in the contact information section, and the email icon appears automatically when they are included in the exhibitor's profile
To restrict these updates from showing, this information should not be collected in Exhibitor Management
Users do not need to be logged in to the Event App to see these updates; however, you can still restrict the Exhibitor List visibility behind login
If there are no saved exhibitor contact fields for an exhibitor, then the company information section does not appear.
