Cvent External Proposals: Proposal Status Changes

Expected Release Date: 23 April, 2025

Change the status of proposals for RFPs received from outside of the Cvent ecosystem.

Suppliers can now update the status of their External Proposals to Awarded, Declined, or Cancelled, along with a reason and/or additional comment which will be displayed on the proposal view with a time stamp. This enhancement also includes the ability to Withdraw the proposal if they can no longer accommodate the business.

Planners will be able to view the status change made by the hotel on their view of the External Proposal.

• Keep in mind:

  1. Only proposals in a Submitted Proposal status can be edited

  2. Once a proposal is Withdrawn or Cancelled, it cannot be reverted back to any other status or resent

What are the benefits?

This enhancement allows you to better track which stage your External Proposals are in to keep your team up-to-date on your group business received from outside of Cvent. With additional comments, your team can also note the reason for the status change to reference in the future.

Note: The External Proposals feature is available for all Suppliers. Suppliers without Smart Custom Proposals can still send proposals for external RFPs. Smart Custom Proposal customers have the added benefit of leveraging their custom templates on their External Proposals.
