We are excited to announce that the following features will be released in May 2025:

1. Log In to Passkey Planner Portal via Magic Link

Expected Release Date: 21 May, 2025

Planners with existing accounts are now able to login to Planner Portal via a "magic link" sent to their email. This eliminates the need to remember a password, offering a frictionless login experience.


2. RezHub & Room List New Look & Enhanced Functionality

Overview: What is RezHub?

Cvent Passkey RezHUB is a reservation transfer tool that allows hotels to securely retrieve reservations for Passkey events. It serves two main purposes:

  1. For hotels with GroupLink integration, RezHUB's most common use is troubleshooting and fixing rejected (unprocessed) reservations so they can be successfully transferred to the hotel's property management system (PMS) or central reservation system (CRS).

  2. For non-integrated hotels participating in city-wide events, RezHUB allows them to retrieve a list of unprocessed reservations to manually add them in the hotel's PMS or CRS. It also provides an import tool that helps speed up the process of uploading and associating hotel confirmation numbers to corresponding Cvent Passkey reservations.

In summary, RezHUB is a key tool for hotels to manage and process reservations from Cvent Passkey events, regardless of whether they have a GroupLink integration.

What's New in RezHub?

We are excited to roll out a refreshed RezHUB experience with a sleek new design and upgraded features aimed at improving usability and streamlining workflows. From collapsible sections to a simplified room list process, every update is built with user clarity and efficiency in mind, and these updates make it easier to navigate, search, and manage reservations more efficiently than ever before.

Room List

Additionally, within the RezHUB updates, we've redesigned the Room List pop-up to make it more intuitive and efficient. Key steps have been merged to streamline the process while keeping all functionality intact.

RezHub

  • New look & feel: Modernized UI for a clean, consistent, and visually engaging experience. Improved accessibility with better contrast and spacing.

  • Collapsible sections: RezHUB Steps section is now collapsible/expandable, allowing users to focus only on relevant steps. The Advanced Search section can now be toggled open or closed based on user preference.

  • Key steps are tailored and highlighted based on the user's role.

Updated Room List Popup: Simplified Workflow

  • New Stepper interface provides clear step names

  • Steps have been merged to streamline user interactions without losing any functionality.


3. Enhanced Maps Feature for Event

Expected Release Date: May 14th 2025

We are excited to announce enhanced Maps feature for Events. Now, when an event is created, the system automatically calculates the distance between the event venue and all listed hotels where attendees might be staying — for both driving and walking routes.

This upgrade removes the need for manual distance entry, which was often time-consuming and prone to errors. By automating this process from the moment an event is created, organizers can ensure greater accuracy, efficiency, and a better experience for guests, especially when managing large citywide events involving multiple accommodation options.

  • Time Saved: Eliminate manual effort — distances between venues and hotels are automatically calculated.

  • Improved Accuracy: Minimize human error and ensure consistent, reliable information for event attendees.

  • Enhanced Experience: Provide guests with clear, context-aware directions that improve planning and travel logistics.

  • Smarter Defaults: Automatically choose the most logical default mode of transport based on real-time metrics.

Key Features

  • Auto-Calculated Distance: Instantly calculate the distance between the event venue and each hotel in your list.

  • Dual Mode Support: View both driving and walking distances. Users can set a default mode, such as driving or walking, for each hotel individually.

  • Intelligent Default Mode: If a hotel is within 2 miles and walkable in under 15 minutes, the walking mode is shown by default. Otherwise, the system defaults to driving mode.

  • Dynamic Map Integration: View all venues and hotels directly on the map, helping organizers and attendees visualize locations easily.

  • Effortless Updates: As hotels or venues change, distances update automatically — no need to recalculate manually.


4. Enhanced Maps Feature for Event

Overview

We are introducing an easier way for planners and hoteliers using Room List Manager (RLM) to process rooming lists that contain hotel rewards programs and numbers.

Previously, users had to map specialized fields to apply rewards programs and numbers, which were not visible in other Cvent Passkey reservation channels for viewing and editing. Now the process is much more consistent and transparent.

Key Highlights of the Release

  • The RLM mapping and editing process has been enhanced to clearly label rewards fields.

  • Mapping Fields: The previous "Custom 9" and "Custom 10" fields have been relabeled to "Rewards Program" and "Reward Member Account"

  • Data Transfer: The rewards program and account number are inserted into the appropriate fields on the reservation, and updates within RLM reflect in other Passkey reservation channels (such as Multi-Room Booking, Call Center, and the Booking Site)

  • Managing Reservations: Rewards program and account fields are clearly labeled throughout the user interface

  • Exporting Room Lists: The exported file headers contain the rewards data

  • Downloading a Template: The standard Passkey room list template reflects the rewards data

Benefits

  • Enhanced Efficiency: A clean and consistent experience to map, process, and update rewards data within RLM

  • Improved Attendee Satisfaction: Rewards data from roomlists can be captured immediately and applied to attendees' reservations. Guest acknowledgements provide proof that rewards are associated with the group reservation and, for integrated hotels, appear immediately within attendees' accounts

IMPORTANT NOTE

Customers using existing mapping templates that mapped fields "Custom 9" and "Custom 10" fields will need to re-select and save their mapping template after the feature is released. This is a one-time action.
