Cvent Planner Navigator Q2 Release

In this quarterly release of Planner Navigator, we are introducing a redesigned detailed planner page, notes, weekly Recommended Planners email, and Similar Planners—all thoughtfully created to help you prospect more efficiently.

Planner View Redesign

What?

After clicking on a planner's name, you will experience a newly designed planner's detailed page, which helps you easily scan and find the data you need.

The new page consists of three new sections:

  1. Business Card - This card gives general info like their name, where they work, as well as action buttons like Email and Add to List are available here.

  2. Tabulated Component - This component includes the Sourcing Overview Tab and the Notes tab.

    • Sourcing Overview Tab - This captures information about the planners' general sourcing habits across all of the Cvent Supplier Network (CSN).

    • Notes - This tab shows all Notes on this planner that are visible to you. Users can also search for notes, sort, and create new notes on this page

  3. RFPs—This section displays all of the RFPs that you are eligible to see from this planner. It also provides an overview of the planners' total RFPs sent, most recent RFP sent, and Decline Reasons.

    It is also grouped into three different subsections:

    • Your RFPs - Displays all the RFPs that have been sent to your venue(s).

    • Shared RFPs - Displays all the RFPs that you have eligibility to see, but not sent directly to your venue(s).

    • Compare Average RFP Data - Displays how the RFPs that are sent to you differ from the RFPs that are sent to the rest of the network.

Why?

We understand that it can take a long time to sift through planners and understand who they are, so we wanted to make it easier for you to find exactly what you need to know about a planner.

Who?

This feature is available for all Planner Navigator Users.

Notes

What?

You can now take notes about planners and My Prospect Lists. These notes will be shared among your colleagues at the venue and Above Property Levels.

  • Adding a Note to a Planner - You can add a note about a planner via the planner's detailed page under the new Notes tab or directly from a My Prospects list. After selecting the Create Note link, you can add a title and additional details.

  • Adding a Note to a My Prospects List - You can also add notes to a My Prospects List upon creation or while viewing that list.

  • Note Visibility

    • My Prospects Notes - Notes on a My Prospects List can be viewed by anyone with access to view that list.

    • Planner Notes

      • Created by Above Property User (APU) - If the note is created by an APU, that note can be viewed by APUs within their cluster and PUs of venues within their cluster.

      • Created by Property User (PU) - If the note is created by a PU, it will be visible to all PUs of that venue and any APUs that have that venue in their cluster.

      • Created by CVB/DMO - If the note is created by a CVB, it will be visible to all users of that CVB.

  • Note Edits

    • Notes can only be edited by the note creator.

Why?

This will help you more easily track the history of your relationship with your leads and be able to share notes with your colleagues.

Who?

This feature will be available for all Planner Navigator Users.

Recommended Planners Weekly Email

What?

You will receive a weekly email containing a list of planners that you should reach out to for that week based on a few different categories. These emails will be sent on the Monday of each week.

  • Note: These emails will only be sent if there are at least 6 planners in your recommendations for that week or if at least 3 buckets have 1 or more planners.

If you would like to unsubscribe from these emails, click "Unsubscribe" or "Manage Your Preferences" at the bottom of the email. The "Unsubscribe" button will immediately unsubscribe you from the campaign and you will no longer receive any future Recommended Planners emails.

Clicking "Manage Your Preferences" will take you to the below page allowing you to customize your preferences. Recommended Planners is categorized under "other communications". You can opt back into these emails by clicking "Manage Your Preferences" on any of these Recommended Planners emails.

Why?

We've heard that one of the most time-consuming prospecting process steps is simply identifying leads to look into. This will allow you to quickly identify strong leads to research further.

Who?

These emails will be sent to all Planner Navigator users.

Similar Planners

What?

When viewing a planner, you will now see a new "Similar Planners" section that displays a list of planners similar to the planner you are currently viewing.

Note: This section will only display if there are at least 3 planners that are considered similar to the planner you are viewing.

  • Planners will be displayed left to right from most similar to least similar. Similarity is determined by 8 different fields:

    1. Market Segment

    2. Metro Areas sourced

    3. Event Months

    4. Venue Scale

    5. Event Type

    6. Average booking window

    7. Average attendee count

    8. Average peak room night

Why?

Identifying a qualified prospect takes time. After you've found a planner you want to work with, this feature saves you time by providing additional planner suggestions, based on your discovered prospect.

Who?

This feature is available for all Planner Navigator users.
