Negotiation Assistant and Business Intelligence Updates
Cvent Transient now offers a powerful new feature to help you accelerate negotiations and make smarter decisions: Negotiation Assistant, powered by CventIQ.
Negotiation Assistant is available to all users who license both the Business Intelligence and RFP Publisher products and are using the new Cvent Transient user experience. You’ll find Negotiation Assistant directly within the Negotiation workflow in RFP Publisher, making it easy to access valuable insights as you manage your RFPs.
Designed to simplify your team’s negotiation process, Negotiation Assistant provides insights on the predicted contract rate. With this feature, which applies after initial bids are submitted, you can reduce the number of negotiation rounds needed to reach RFP acceptance, saving valuable time. You have the flexibility to adjust amenities within rate packages, and as you make changes, the system recalculates the predicted contract rate — giving you the information you need to move forward with confidence. Importantly, in addition to determining your own initial bid, you remain at all times in control to enter the rates that best fit your business goals.
In addition, we are evolving the Business Intelligence tool within Cvent Transient to focus on long-term planning and strategic decision-making. With the operational functionality now provided by Negotiation Assistant, the Business Intelligence tool will provide insights tailored to reveal long-term performance trends. As a result, you may notice some changes in the data available, designed to align more closely with strategic objectives.
These enhancements reflect our commitment to helping you succeed — both in your RFP negotiations and as you shape your long-term strategy. We look forward to you experiencing the benefits of Negotiation Assistant and the updated focus of the Business Intelligence tool.

Improved Transparency in Negotiation Review for NAMs
We’re excited to announce an enhancement to the negotiation workflow in Cvent Transient that improves visibility into hotel responses. With this update, hotel response labels and indicators are now clearer and easier to interpret—ensuring account managers and property users can quickly understand how negotiation requests have been addressed.
What’s Changing?
Clearer Label Indicators: Hotel responses to negotiation requests are now shown using more descriptive and visible labels that clearly communicate the action taken (e.g., accepted, partially accepted, declined).
Consistency Across Statuses: The clarified response indicators are displayed both when a bid is in "Verified" status and when it has moved to "Approved" status, ensuring full transparency throughout the negotiation process.
Aligned Views: Both account managers and property users see the same labels and indicators, providing a single source of truth and reducing ambiguity.
Context Preservation: Even after a negotiation is resolved and the bid progresses, the history of the request and response remains visible, reducing the risk of misinterpretation.
Attached below is the reference to negotiation screen with new label indicators.
Bid Status on Supply side- Negotiation Requested - Upon receiving buyer's negotiation request
Bid Status on Supply side - Verified - Post Property user's response
Why This Matters
Transparency: Account managers can immediately understand how hotels responded to negotiation requests, without needing extra steps.
Clarity: The improved labels remove confusion and make it obvious whether the property accepted, declined, or modified terms.
Efficiency: Reduces back-and-forth communication and time spent validating responses, especially for those managing large volumes of negotiations.
This enhancement is part of our ongoing effort to create a more intuitive and transparent negotiation experience. By making responses clearer, we are enabling faster, more confident decision-making for both account managers and properties.
Add and Request Extended Stay in Negotiations
Users can now add and request extended stay rates directly during negotiations in the new user experience. This update brings greater flexibility to corporate travel management, allowing both travel managers and suppliers to seamlessly incorporate extended stay options—eliminating manual workarounds and ensuring traveler needs are met with greater precision and efficiency.
Benefits:
Travel Managers: Enjoy enhanced control over travel arrangements, making it easier to accommodate travelers who require longer stays.
Suppliers: Efficiently respond to and fulfill extended stay requests, capturing additional business and strengthening client relationships.
What’s New:
Simple Request: Extended stay rates can be requested during negotiation with the click of a button.
Flexible Response: Hotels can view and respond to extended stay requests during negotiations, choosing from existing rate plans or creating new ones as needed.
Streamlined Experience: The new user experience reduces manual effort and minimizes the risk of errors.
